What we collect and why

We collect the business contact details, company information, product specifications, commercial terms and documents you choose to submit. We use these to assess a commercial requirement, review product fit, communicate with you and administer an agreed engagement. We retain submission references, review decisions and delivery records to operate the service and avoid duplicate processing.

A fit-screen submission authorizes confidential internal review. It does not authorize public publication or buyer disclosure. Buyer testing and introductions require a separately agreed scope and permissions. We do not sell buyer contact lists.

Storage and access

Applications are stored in a database. Uploaded files are kept in private object storage and may be accessed by authorized Provenance reviewers. Transactional email providers receive the contact and message information needed to send acknowledgments and operational messages. Hosting and email service providers may process information outside your country.

Files are checked for supported format and size. These checks do not certify that a file is safe. Do not upload patient information, identity documents, information you are not authorized to share or unrelated confidential records.

Only the information needed for a permitted commercial step is shared with an intended counterparty after the applicable checks and permissions. Paying a supplier fee does not give unrestricted access to buyer identities.

Retention and your choices

We keep submissions while they are needed for review, an active relationship or relevant recordkeeping obligations. Contact us to request access, correction or deletion. We assess requests against the records we need to retain for contractual, accounting or legal obligations. We do not promise automatic deletion on a fixed schedule.

Submission does not subscribe you to a marketing list. Operational messages about your request may be sent to the address you provide.

Website analytics

The homepage uses Google Analytics to measure page and form activity. Do not include sensitive information in a page address. The supplier application and private review desk do not send application fields, documents or buyer information to analytics.
